A Bangalore lawn wedding rain plan that the venue and vendors can actually run

An indoor room becomes a usable backup only when the layout, access, decision and crew are agreed before the wedding.

For a Bangalore lawn wedding, agree the backup space, usable seated capacity, move deadline and responsible decision-maker before booking. The venue, decorator, caterer and photographer need one shared layout and handover schedule. Confirm outside-vendor permissions and any rain-cover costs in writing; the existence of an indoor hall does not establish that it is reserved or ready for your event.

Reserve the alternative before you need it

Start by asking whether the indoor space is reserved for your wedding or may be sold to another event. Then ask what it can hold in your layout. A room’s advertised capacity can mean standing guests, theatre seating or a dining configuration. Your ceremony also needs the mandap, aisle, camera positions and room for the people conducting the rituals. Put the actual plan on paper and have the venue confirm it.

This is a booking question, even when the wedding is months away. A venue tour on a bright day can make the lawn feel like the only space that matters. Visit the indoor option and walk the route between it, the entrance, the guest rooms and the dining area. Note where people would wait during a move and whether that route works for elders or guests who need step-free access.

Read the venue offer literally

La Terra Gardens in Yelahanka publicly describes both outdoor and indoor event areas and lists outside decorators and catering among its permissions. That is useful evidence when drawing up a shortlist. It does not tell you whether both areas are included in your quotation, which one is reserved on your date or what a particular setup needs.

Srishti Vilasa’s website states that outdoor rain cover is not provided and may be arranged through decor. That distinction matters: a venue can be suitable for a wedding without supplying every item required by your rain plan. These examples were checked on 10 September 2026. Ask each property to confirm its current offer for your function; do not transfer one venue’s permissions to another.

The move decision needs a deadline

Ask the venue and production lead for the latest time at which the alternative can be safely ready. Work backwards from the first guest arrival, allowing for the build, furniture, catering setup, lighting and inspection. The decision deadline comes before that work begins. There is no universal number of hours that works for every wedding; it depends on what is being moved and what is already installed.

Name the person authorised to make the decision and a deputy if they cannot be reached. A couple in the middle of getting ready should not be the only route to an answer. Record how the decision is communicated to all suppliers and the family. If a decision changes after the deadline, the team must explain what can still be delivered instead of quietly promising the original plan.

Give every team the same handover sheet

Use one document rather than separate instructions buried in different message threads. The outline below is a starting template, not a record of an actual wedding. Fill in the names, times and venue requirements with your own suppliers.

Outside suppliers need access, not just permission

A statement that outside decorators are allowed is the beginning of the conversation. Confirm the loading gate, vehicle route, delivery window, storage area, crew access and restrictions on fixing items to walls or ceilings. Ask who protects the floor and who removes packaging. If the indoor backup is reached through a narrow door or a guest corridor, the move sequence needs to account for that physical route.

The caterer needs equally specific answers about kitchen access, equipment, water, power and the path to service. The photographer needs to know when lighting can be tested and whether furniture will still be moving during portraits. Put these questions to the people doing the work. A venue sales contact cannot settle every technical detail on behalf of each independent supplier.

Adapt the design to the backup room

A lawn design may need a smaller footprint indoors. Agree the alternative drawing and material choices before the event so that a move does not start a second design negotiation. Pay attention to sight lines and the ceremony itself: the officiant and family must be able to use the space comfortably, and any ritual involving fire needs the venue’s specific approval.

Tell guests where to go

Once a move is confirmed, update the arrival message with the actual entrance and room name. Place a host where the old route divides from the new one. Make sure the transport coordinator, venue security and family representatives receive the same information. If the dining arrangement has also moved, tell guests before they start walking towards an empty lawn.

Finish the plan with a joint inspection before admitting guests. The venue and responsible suppliers should confirm that access, furniture, lighting and service areas are ready. Keep unresolved items with a named owner. The useful result is a room the wedding can use at the agreed time, with every team working from the same approved plan.
